- Maintain DPS Purchasing Inbox - Requisition forms and account statements are printed for processing. Printed requisitions are sorted, stapled, and given to appropriate personnel for processing. Email questions for information are addressed or forwarded to the appropriate personnel for addressing. Inbox is organized and communications filed appropriately.
- Perform three way match - Incoming invoices and packing slips must be matched to appropriate purchase order. Any discrepancies between the three way match are to be resolved. The invoice should be noted with the appropriate text and scanned into Purchasing File.
- Goods Receipting - Matched invoices are goods receipted in AASIS and the corresponding document number is recorded on the invoice. Goods receipted invoices are forwarded to appropriate personnel for payment.
- Customer Service and Vendor Interaction - Maintain polite and professional working relationships with vendor and Department personnel. Answer questions on payment statuses. Respond to requests for assistance.
- Statement Reconciliation - Account statements are reconciled and outstanding balances addressed or resolved with the vendor. Payment reports are pulled from AASIS and invoices from the file room as needed.
