The Office of Attorney General Tim Griffin is seeking to hire an individual to serve as a Fiscal Associate in the Fiscal Division.

 

The ideal candidate will have a bachelor's degree with 1+ years of experience in accounting, business or related field, or an associate degree with 2+ years of experience in accounting, business, or a related field.  Other job-related education and/or experience may be substituted for all or part of these requirements.

 

The individual hired for this position will process and verify invoices for goods and services, as well as process TR1s in AASIS and QuickBooks.  If discrepancies are discovered, they will resolve them timely.  They will assist the Office of the Attorney General staff with travel arrangements, process new vendors and maintain current vendors in AASIS and QuickBooks and maintain electronic and physical files/records.  They will also be responsible for receiving payments and verifying for accuracy, depositing those payments into appropriate accounts, and posting receipts.  This individual will order supplies, assist the Logistics Department as needed, prepare lost warrant paperwork, and cancel warrants, enter Federal drawdowns in AASIS, and perform other duties as assigned by the Deputy Chief Fiscal Officer and the Chief Fiscal Officer.

 

This position requires daily in-office presence and the ideal candidate being proficient in Microsoft Office Suite (Word, Excel, Outlook, OneDrive, Teams).  Ability to maintain and reconcile financial accounts, along with being proficient in using AASIS is a plus.  Competency in accounting and business management software and experience with QuickBooks online accounting software is preferred.  Experience in customer service, with the capacity to problem solve, and use analytical skills is ideal.  Attention to detail, with the ability to deliver high quality accurate work, along with excellent communication and interpersonal skills is desired.  The applicant should possess a strong commitment to a team environment, with the ability to contribute expertise and follow directives.  Strong mathematical skills, knowledge of accounting principles, financial processes, and controls, with knowledge of GAAP (Generally Accepted Accounting Principles) is a plus.  Excellent organization and time management skills with the ability to prioritize tasks and adapt to changing circumstances is needed.  The applicant must be able to always maintain confidentiality.  The Fiscal Associate will work under the direct supervision of the Chief Fiscal Officer.

Summary

Responsible for accounts payable, accounts receivable, and travel services.  Provides support to the Fiscal Office.

Functions

  1. Processes and verifies invoices for goods and services received in AASIS (Arkansas Administrative Statewide Information System) and QuickBooks.  Resolves discrepancies timely.
  2. Processes TR1s in AASIS and QuickBooks.
  3. Assists the Office of the Attorney General staff with travel arrangements.
  4. Processes new vendors and maintains current vendors in AASIS and QuickBooks.
  5. Maintains electronic and physical files/records.
  6. Receives payments and verifies for accuracy.  Deposits payments into appropriate accounts and posts receipts using prescribed methods.
  7. Orders supplies.  Assists the Logistics Department as needed.
  8. Prepares lost warrant paperwork and cancel warrants.
  9. Enters Federal drawdowns in AASIS.
  10. Performs other duties as assigned by the Deputy CFO and CFO.
