Preferred Qualifications: 

Knowledge of the court system in the state of Arkansas at the trial level. Knowledge of filing and record keeping techniques.  Must be proficient in utilizing Microsoft Outlook, Access, Word, and Excel.  Ability to prepare detailed written reports and successfully function in a team environment. Four years knowledge of these processes and reporting, is preferred:  Retained Attorney process,  Payment Request for Professional Services, handling Complaints, and facilitating Commission Meetings.  Communicate with good techniques in difficult scenarios.

 

 

Roles and Responsibilities: 

Supervise a small team and participate in activities or processes performed by those team members, up to and including the coordinating and facilitating payment of services on behalf of indigent defendants among trial public defenders, private attorneys, investigators, interpreters, mitigation specialist, as well as fielding calls, directing, researching and analyzing the needs of our callers (the public), defendants, attorneys, etc.  Correspond with incarcerated persons through both verbal & written communications.

Manage and execute the Retained Attorney process,  Payment Request for Professional Services, Field Stats process and reporting, Complaint process on behalf of defendants, County Budget reporting, facilitate Commission Meetings, Database Operations, prepare Annual Reporting and participate in FIOA requests as needed. Communicate and correspond with our Executive Director on authorizations as it relates to the above processes. Performs other duties and participates on special projects, as assigned.

Job Summary

The Administrative Supervisor is a leadership role within a department, tasked with overseeing and coordinating administrative operations, managing staff, and ensuring that all administrative functions align with the goals and objectives of the agency. This position requires advanced skills in office management, staff supervision, project management, and operational improvement. The Administrative Supervisor will be responsible for leading a team of administrative professionals, enhancing workflows, and ensuring compliance with state regulations and agency policies.

Primary Responsibilities

Supervise, train, and provide guidance to administrative staff, ensuring tasks are completed effectively and efficiently. Evaluate staff performance, provide feedback, and facilitate staff training to ensure continuous improvement. Assign and prioritize tasks to administrative staff based on departmental needs, ensuring that workflows are managed appropriately and deadlines are met. Oversee the daily administrative operations of the department, ensuring that all activities run smoothly and in compliance with agency policies. Develop and implement procedures to streamline office operations, improve efficiency, and maintain consistency across all administrative functions. Ensure the efficient use of office resources, including supplies, equipment, and facilities. Maintain accurate records of inventory, equipment maintenance, and other office resources to ensure operations are not disrupted. Identify areas for process improvement and implement strategies to enhance efficiency, accuracy, and overall service delivery. Draft and disseminate internal communications, including memos, reports, and updates, to ensure staff members are informed and aligned with agency objectives. Coordinate meetings and events with external partners, managing logistics and ensuring that all parties are properly informed.

Knowledge and Skills

Strong experience in managing staff performance, providing feedback, and fostering a collaborative and supportive work environment. Excellent organizational skills, with the ability to manage multiple projects, priorities, and deadlines. Attention to detail and a focus on ensuring high-quality, accurate work. Strong problem-solving abilities, with the capacity to address complex issues, evaluate alternatives, and implement practical solutions. Excellent verbal and written communication skills, with the ability to interact with individuals at all levels of the organization and external stakeholders. Skilled in drafting clear, concise reports, memos, and other communications. Skilled at organizing workflows, assigning tasks, and managing office operations to maximize productivity. Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and other office software.

Minimum Qualifications

A high school diploma or equivalent is required, plus four (4) years of experience in administrative roles.
