Job Summary
The Inventory Coordinator is the backbone of effective supply chain management within an agency or organization. This role is responsible for maintaining optimal inventory levels, ensuring accurate records, and coordinating with various departments to support efficient stock replenishment. In essence, the Inventory Coordinator safeguards the flow of goods—tracking incoming and outgoing materials, analyzing stock usage, and resolving discrepancies—to help meet customer demands while minimizing costs and waste.
Primary Responsibilities
Monitor, record, and update inventory levels using established tracking systems.
Execute regular physical counts (cycle counts) and reconcile physical stock with database records.
Maintain accurate records of inventory movements; investigate and resolve discrepancies as they arise.
Coordinate with purchasing and receiving departments to process orders for stock replenishment.
Forecast inventory requirements based on usage trends, seasonal demand, and historical data to avoid both stock shortages and overstocking.
Generate and submit periodic reports summarizing inventory status, discrepancies, and trends.
Develop and maintain detailed documentation, ensuring that internal procedures and external regulatory requirements are met.
Work closely with suppliers, internal departments (such as warehouse, procurement, and finance), and auditors to ensure a smooth inventory process.
Serve as the key liaison for process improvements in inventory management, recommending best practices and participating in process improvement initiatives.
Ensure adherence to agency policies as well as industry regulations.
Assist in developing and disseminating standard operating procedures for inventory control and handling, contributing to continuous improvement programs.
Knowledge and Skills
Proficient in inventory management software and Microsoft Office Suite.
Ability to quickly learn new software systems and database management tools.
Strong analytical capabilities to interpret inventory data and suggest actionable improvements.
Detail-oriented with a methodical approach to problem-solving.
Excellent verbal and written communication skills to interact efficiently with various internal teams and external suppliers.
Ability to prioritize tasks in a fast-paced environment and effectively manage time and resources under tight schedules.
Minimum Qualifications
High School Diploma or GED.
Minimum of 4 years of experience in inventory management, supply chain management, logistics, or a related financial / operational role.
