Position Summary

 

The Administrative Analyst will function as the Vocational Rehabilitation Technician. The position is responsible for assisting individuals with physical, mental, developmental, or emotional disabilities to enter into competitive employment. The position works with clients to overcome or manage the personal, social, or psychological effects of disabilities on employment. The position requires individuals to travel to itinerary points and community outreach. The position is governed by state and federal laws and agency policy. This position will provide direct support services to clients and vocational counselors.

 

This position requires on-site employment with no remote or hybrid options available Education and Professional Work Experience

Minimum Qualifications

 

A high school diploma or equivalent is required, plus three (3) years of experience in administrative roles.

Preferred Qualifications

 

  • Working experience with case management systems.
  • Working experience with individuals with disabilities.
  • Working experience with high school students with disabilities.
  • Working experience developing and conducting presentations for community outreach.
  • Experience with the Workforce Innovation and Opportunity Plan (WIOA), specifically pre-employment transition services.

  • Excellent verbal and written communication skills, with the ability to convey complex information clearly to a variety of audiences.

Job Responsibilities and Expected Results

 

 

  • Complete all appropriate forms and report information in the case management system.
  • Provides case narratives that explain the progression of the case. Follows agency procedures on client contacts.
  • Follows agency procedures regarding service delivery and authorization of payments.
  • Identifies, documents, and reports the credentials achieved, skills gained/achieved while in a credential program, or employment achieved when applicable to the student.
  • Develops and maintains referral sources, demonstrates collaborative activities including but not limited to Juvenile Justice facilities, High Schools, and other community resources.
  • Counsel special needs students, and at-risk students, individually or in group sessions, concerning social, civic, personal, and educational problems, and refers to alternate sources for assistance. 
  • Recruit students by developing and making presentations at juvenile justice facilities, school curriculum to regional junior and senior high classes, counselors, civic organizations, social service agencies, and various other interest groups. 
  • Develop and maintain referral sources and community contacts.
  • Understand and remain compliant with policies and procedures.
  • Maintain an adequate rate of production in their assigned area and the required number of closures. 
  • Evaluate job sites, obtain, and utilize current labor market information, establish and maintain rapport with the business community to facilitate work experiences, volunteer opportunities, internships, job shadowing opportunities, or other career exploration activities. 
  • Monitor and document job market information, including local industry needs and vocational skill requirements for employment, and maintain confidential student records. 
  • Assist counselors in obtaining and compiling student follow-up information, attend professional conferences and workshops, and assist with special school functions. 
  • Preserve the integrity of all employees, clients, and student information. Perform other duties as assigned. 
  • Enter and maintain quarterly performance measures.

Job Summary

The Administrative Analyst plays a pivotal role in supporting the strategic operations of a department by providing advanced analytical, operational, and administrative support. This position requires the ability to manage complex tasks, evaluate processes, and implement improvements that enhance overall efficiency within the agency. The Administrative Analyst will collaborate with senior leadership, provide insight through data analysis, and contribute to the development of policies and procedures that support the agency’s goals.

Primary Responsibilities

Provide advanced administrative support to senior management, including scheduling meetings, preparing materials, composing correspondence, and conducting research as needed. Oversee and coordinate office operations, ensuring that processes are aligned with agency objectives. Ensure that all records, documents, and files are maintained in accordance with state laws and agency guidelines. Organize and manage both physical and digital records to ensure that information is easily accessible and complies with confidentiality requirements. Collect, analyze, and interpret a variety of data from internal and external sources to support the agency’s objectives. Prepare detailed reports and presentations based on data analysis, providing insights and recommendations to leadership for informed decision-making. Evaluate and assess current operational processes within the agency to identify inefficiencies, bottlenecks, or compliance issues. Recommend process improvements and assist in the development of procedures that streamline workflows and improve service delivery.
